What we collect, why we collect it, and what you can ask us to do with it.

Last updated: 7 September 2026

This policy covers FindLuxuryJapan, operated from 228 Hamilton Ave, 3rd Floor, Palo Alto, CA 94301. It explains what we hold, why we hold it, and what you can ask us to do with it.

What we collect

Almost all of it is what you type in. When you send a request that means your email address, an optional phone number, and the details of the piece: links, a description, the lowest condition grade you would accept and a budget range. When you reserve something on What's Hot it means your email address and, once you approve a purchase, a delivery address.

We do not ask for an account, a password or a date of birth, and we never see or store your card number. Alongside that we collect ordinary usage data: pages visited, referring site, approximate location from your IP address, and device type.

We also use a session-replay tool, which records how you move through the site — clicks, scrolling and mouse movement — and aggregates it into heatmaps. It is used to find parts of the site that do not work, not to identify you, and it does not capture what you type into form fields.

Why we hold it

Your email address and request details exist so we can actually carry out the search and tell you what we found. Your delivery address exists so a courier can reach you and so customs paperwork is accurate. Usage data tells us which parts of the site work and which do not.

We keep your request history so that a piece which was unavailable this month can be matched against you if it surfaces later, which is the point of leaving a request open. Ask us to close that off and we will.

What we never do

We do not sell personal information, rent it, or share it with data brokers. We do not run advertising or retargeting cookies, and we are not part of any ad network. We do not email you about anything other than your own requests and orders unless you explicitly opt in.

Who else sees it

The parties needed to finish the job. A payment processor receives an order reference and amount. A courier receives your delivery address. Our sourcing team in Japan receives the details of the piece you asked for. Each is bound by contract to use it for that purpose alone.

Separately, the site sends usage data to third-party providers that we use to understand and improve it:

  • Web and product analytics providers — which pages are visited, how people arrive, and which parts of a request flow people abandon.
  • A session-replay and heatmap provider — the interaction recording described above.
  • A PCI-compliant payment processor — card details go directly to it and never reach our servers.

These providers process data on our behalf under their own terms, and may hold it outside your country. We disclose information beyond all of the above only where the law requires it.

Where your data lives

Our team works across Japan and California, so your request details are accessed from both countries. Data is held on servers in the United States. Submitting a request means accepting that transfer.

How long we keep it

Order records are kept for seven years, because tax and customs rules require it. Open requests are kept until you close them or ask us to delete them. Analytics data is retained in aggregate for two years.

Security

Data is encrypted in transit and at rest. Card details are handled entirely by a PCI-compliant payment processor and never touch our servers. Access to customer records is limited to the people working on your request.

Your rights

You can ask for a copy of everything we hold on you, ask us to correct it, ask us to delete it, or ask us to stop processing it. Email hello@findluxuryjapan.com and we will respond within 30 days, usually far sooner. If you are in California, the CCPA gives you these rights explicitly, and we will never charge you differently for using them. If you are in the EU or UK, the GDPR applies on the same basis.

Every non-essential email carries an unsubscribe link. Unsubscribing does not stop transactional messages about an order already in progress.

Cookies

Essential cookies keep your session and preferences and cannot be turned off without breaking the site. Analytics and session-replay cookies tell us how the site is used and can be declined without losing functionality. We do not run third-party advertising or retargeting cookies.

Children

The service is not intended for anyone under 18 and we do not knowingly collect data from minors.

Changes and contact

If we change this policy materially we will email anyone with an active request rather than quietly updating the page. Questions about any of it go to hello@findluxuryjapan.com.
